Compare hours rate gross pay and the work schedule

Start before deductions are considered.

Gross pay is earnings before tax and other deductions. Check the employer name, employee name, pay-period dates, pay date, hourly rate, regular hours, overtime, commissions, tips processed through payroll, bonuses and vacation pay. Compare these figures with the written offer, time sheets and schedule rather than looking only at the bank deposit.

Employment standards such as minimum wage, overtime, public-holiday pay, meal breaks, vacation pay and when a wage statement must be provided are mainly provincial or territorial. The rules can differ where the job is located. Use the official ministry page for the province and employment type, because some occupations and federally regulated workplaces have special rules.

Keep an independent daily record of start, finish, unpaid break and job duties. For immigration compliance, IRCC counts all eligible off-campus work across employers and includes paid activity, commission work and relevant self-employment time. A payroll system that omits hours does not remove the student’s responsibility to prove the current limit was respected.

Separate income tax CPP or QPP EI and voluntary amounts

Net pay is lower because amounts are withheld.

Employers normally withhold federal and provincial or territorial income tax based on payroll rules and the employee’s TD1 information. Quebec uses its own provincial deductions. Tax withholding is an estimate toward the annual return, not the final tax calculation. Multiple jobs can cause too little tax to be withheld when personal credits are claimed more than once.

Canada Pension Plan contributions, or Quebec Pension Plan contributions in Quebec, and Employment Insurance premiums are common statutory deductions when the employment and worker meet current rules. Rates and annual maximums change. The employer also has obligations, but the student’s pay stub shows the employee portion. Do not assume every deduction with a similar label is a government charge.

Other lines can include health or dental benefits, pension contributions, union dues, uniform or meal charges and a repayment authorized by the employee. Ask for the policy and legal basis of an unfamiliar amount. An employer should not demand a cash refund of payroll, charge a recruitment fee disguised as a deduction or keep tips contrary to applicable standards.

Provide the SIN TD1 and direct-deposit details carefully

Sensitive information should go only to a genuine employer.

Provide a valid Social Insurance Number after being hired so the employer can operate payroll and issue tax records. A temporary-resident SIN starts with 9 and expires with the work-authorizing immigration document. The SIN does not create work permission, and the employer must still verify the study-permit condition and eligibility.

Complete the federal TD1 and the applicable provincial or territorial form using truthful current facts. A person with more than one employer should read the multiple-employer instruction carefully instead of claiming the same personal amounts automatically on every form. Keep a dated copy and submit a new form when relevant circumstances change.

For direct deposit, give the institution, transit and account numbers through the employer’s secure payroll process. A legitimate employer does not need the online-banking password, card PIN or one-time code. Fake-job scammers may send a cheque for equipment and ask the student to transfer money onward; the cheque can reverse after the student’s money is gone.

Match pay stubs bank deposits and the T4 before filing tax

Errors should be raised while evidence is available.

CRA says an employer generally issues a T4 when remuneration and deductions meet the reporting rules. The slip summarizes employment income and amounts such as income tax, CPP or QPP and EI for the calendar year. Compare it with cumulative figures on the final pay stub and actual deposits. One student can receive separate T4s from multiple employers.

Report a missing pay period, wrong SIN, misspelled name, incorrect hours or unexpected deduction promptly in writing to payroll and keep the response. If the employer does not correct an employment-standards issue, use the proper provincial, territorial or federal complaint route. Tax-slip errors may require an amended T4 and CRA handling.

Keep a dated evidence file before submission

A search result or counselling note can become outdated between shortlisting and application. Create one folder containing the official pages relied on, the date each page was checked, written answers from the institution, the final fee and refund terms, and the exact application files submitted.

When a policy changes, compare the new instruction with the student’s application date, credential, institution, campus and personal status before deciding what applies. Do not silently replace an old document or reinterpret a rule from a headline. If the effect is uncertain, pause payment or submission and obtain clarification from the responsible authority or a properly authorised professional.
