Act immediately after discovering the permit is missing

The first record should be accurate and dated.

Search the last secure location and confirm whether the study permit alone is missing or whether the passport, TRV, SIN, bank cards and school identification were also lost. Write a factual timeline with the date, location and circumstances. Do not invent a theft, change dates or submit inconsistent accounts to the police, school and IRCC.

Report theft or loss to the local police service and retain the report number and copy where available. IRCC’s replacement guide requires the police report number for a lost or stolen current valid temporary resident document. If personal data may be exposed, notify the bank, mobile provider, school security and relevant identity-protection services using official contact channels.

Recover digital copies of the permit from the original application, email, secure storage or school record. Note the UCI, document number, issue and expiry dates and printed work conditions. A copy helps the application and employer or school discussion, but it is not a newly issued original and does not change the legal validity dates.

Apply for replacement rather than an extension or amendment

Each application serves a different purpose.

Use IRCC’s Application for a Verification of Status or Replacement of an Immigration Document package and read Guide 5545 in full. The package can replace a current valid study permit, work permit, visitor record or temporary resident permit that was lost, stolen or destroyed. Follow the current form, photo, identity, signature, fee and mailing instructions.

The guide currently lists a $30 replacement or verification fee, but confirm the live fee before payment and include the required receipt. Assemble legible passport identity pages, the available permit copy, police report details and a concise explanation. Keep a complete scanned copy and proof of delivery to the Operations Support Centre address specified by IRCC.

Do not use replacement to correct an IRCC error, change a name, extend the permit or request new work conditions. Amendment, extension and restoration have different forms, deadlines and evidence. If the permit has already expired, a replacement request does not preserve or restore temporary resident status.

Keep status dates and conditions under control while waiting

Physical loss is not an extension of authorization.

Continue to follow the original permit’s expiry date, DLI, study and work conditions. Inform the international office and ask what evidence it needs for registration or compliance records. Keep enrolment confirmations, transcripts and the replacement receipt together in case the school or employer asks why the original paper is unavailable.

If an employer requires proof, provide truthful copies and the IRCC replacement receipt, then ask the employer to assess the evidence. A SIN or previous payroll record does not authorize work by itself. Track all student work hours and stop if status or work eligibility ends, regardless of whether the replacement has arrived.

Apply separately for a study-permit extension before the original expiry when more time is needed. Do not wait for the replacement and miss the extension deadline. A person already out of status should stop unauthorized study or work and seek qualified advice about restoration or departure rather than relying on the missing-document explanation.

Separate permit replacement from passport and entry documents

A study permit is not a travel visa.

A study permit authorizes status and study inside Canada but does not by itself permit boarding or re-entry. If a passport or TRV counterfoil was also lost, follow the passport authority and IRCC instructions for those documents. Do not leave Canada assuming the replacement study permit will function as a visa.

Guide 5545 describes urgent processing in limited situations and requires the envelope to be marked as instructed with proof of the qualifying urgency. Ordinary travel preference, a convenient flight or failure to plan may not qualify. Check current criteria and do not purchase non-refundable travel based on an expected replacement date.

Keep a dated evidence file before submission

A search result or counselling note can become outdated between shortlisting and application. Create one folder containing the official pages relied on, the date each page was checked, written answers from the institution, the final fee and refund terms, and the exact application files submitted.

When a policy changes, compare the new instruction with the student’s application date, credential, institution, campus and personal status before deciding what applies. Do not silently replace an old document or reinterpret a rule from a headline. If the effect is uncertain, pause payment or submission and obtain clarification from the responsible authority or a properly authorised professional.
