IRCC states that permit length depends on the program and passport validity, whichever comes first, and allows a later extension only when passport expiry prevented the full eligible period.

Calculate the maximum program-based entitlement and subtract the period already issued. A master’s degree may have a special three-year rule when all current conditions are met, while other programs have length rules and combined-program criteria. Do not assume every graduate is entitled to three years or that processing time adds to the maximum.

If the permit was shortened because of medical restrictions, program length, ineligible study, officer assessment or another reason, the passport route may not apply. Obtain the GCMS or decision record and qualified advice when the explanation is unclear rather than describing every short PGWP as a passport error.

IRCC cannot issue beyond the new travel document.

Start the Nepali passport renewal process well before the PGWP and passport expire. Follow the current Embassy of Nepal or Department of Passports appointment, identity, citizenship, old-passport and fee instructions for the student’s location. Keep application and collection receipts but do not assume a pending passport renewal extends Canadian status.

When the new passport arrives, verify the English spelling of the name, date of birth, passport number, issue and expiry dates. Keep clear copies of both old and new passports, including visas, entry stamps and biographical pages. Explain any name or identity variation consistently with supporting civil documents.

The new passport should cover the entire remaining period the graduate seeks. A second short passport can lead to another limited document and does not guarantee repeated PGWP extensions. Protect the original passport and never mail it unless the current application guide explicitly requires it.

Document the remaining PGWP entitlement clearly

The online portal is not the stated route.

IRCC’s current PGWP page directs passport-limited extension applicants to apply on paper after receiving the new passport. Download the current work-permit extension package and follow its latest checklist, fee, form, signature, photograph and mailing instructions. Do not substitute an online application simply because it is more convenient.

Include copies of both passports, the current PGWP, completion letter and transcript, original PGWP application and approval evidence where available, fee receipt and a focused letter of explanation. Show the original eligible period, time granted, passport limitation and exact remaining period requested with a date table.

Keep a complete scanned application and tracked delivery proof. A courier receipt does not prove approval or completeness. Monitor mail and the IRCC account where linked, respond to requests on time and update the address. Never alter the work permit or claim a future expiry before IRCC issues it.

Aim to submit the complete extension before the current PGWP expires. Maintained-status and work rules depend on a timely eligible application and remaining in Canada, so confirm the precise route with current IRCC guidance. Give the employer accurate receipts and permit dates without promising a new expiry.

International travel during processing can affect re-entry and practical work plans. Check the passport, TRV or eTA and pending-application consequences before departure. A work permit does not replace an entry document, and the border officer decides admission. Avoid non-refundable commitments based on an expected processing time.
