Master’s MBA and doctoral requirements

Graduate applications may have both university-wide and department requirements. EducationUSA highlights the personal data form, personal statement, undergraduate transcript and detailed recommendations. Programmes may also ask for a CV, writing sample, portfolio, prerequisite proof, GRE or GMAT, research statement, faculty interest, interview or credential evaluation.

Control the workflow

A clean document tracker

Create one row for every requirement. Include the exact title, official source URL, deadline with time zone, owner, delivery channel and status. A transcript requested through a school, a recommendation uploaded by a referee and a score sent by a testing agency are different workflows.

  1. Download or copy the current official checklist.
  2. Use the passport spelling consistently.
  3. Request transcripts and recommendations early.
  4. Draft essays for the exact prompt and programme.
  5. Order score reports only after confirming policy and recipient code.
  6. Run a final PDF, file-name and upload check before submission.
  7. Save confirmation pages and application identifiers.
Financial and I-20 stage

Keep admission and visa records aligned

International offices may request proof of funds, sponsor details or financial certification before issuing Form I-20. This is not a reason to upload bank records to every application without instruction. Follow the university’s secure channel and required period, currency, certification and sponsor format.

After admission, compare the I-20 programme, dates and estimated costs with the written offer. Retain the source of funds and award terms for the later F-1 process. The F-1 visa guide explains the separate visa-stage records.

Quality control

Ten-minute pre-submission audit

  • Correct university, campus, programme and intake selected.
  • Legal name and date of birth match the passport.
  • All required academic years and translations are present.
  • Essay answers the actual prompt and does not contain another university’s name.
  • Recommenders received the request and deadline.
  • Test policy and official score delivery confirmed.
  • Programme supplement, portfolio or writing sample included where required.
  • Application fee or valid waiver completed.
  • Submitted answers saved for future consistency.
Format and delivery

Prevent avoidable document rejection

Check whether a document must be uploaded as PDF, sent directly by the issuing institution, entered into a credential service or provided after admission. Do not merge files when the portal asks for separate items. Scan at a readable resolution, include every page and avoid passwords unless explicitly requested. Use clear file names such as surname-document-year rather than vague names like final2.pdf.

If a record is not in English, follow the university’s certified-translation policy; do not replace the original with only a translation. A provisional result, unofficial student copy and final official transcript are not interchangeable. If the final certificate will be issued after the deadline, ask the admissions office what temporary evidence it accepts and keep the reply.

Who should send each item

The student submits personal forms and essays. A school, university, testing agency or recommender may need to submit other evidence directly. Giving yourself access to a confidential recommendation can violate instructions. Use the correct institutional email and verify receipt through the portal instead of repeatedly uploading duplicates.

For multiple universities, keep a master evidence folder plus a university-specific folder. Lock the submitted version after each application so future forms and the F-1 record remain consistent.
