Understand the programme model before applying

US doctoral programmes may combine advanced coursework, qualifying examinations, research rotations, teaching and a dissertation. Structure varies significantly by discipline. Some admit students after a bachelor’s degree; others expect a master’s degree or specific research preparation. Read the handbook and current department admissions page, not only the university’s general graduate page.

Identify research groups, methods, facilities, datasets and supervisors relevant to your work. Faculty availability can change. A professor listed on an old page may not be accepting students, and a general topic match may not be enough. Confirm how supervision is assigned and whether applicants are admitted to a department, lab, project or named adviser.

Write only when contact is useful

Some departments ask applicants to identify potential supervisors; others discourage pre-application contact. Follow the published instruction. If contact is appropriate, read recent official lab or faculty pages and send a short message explaining the precise connection between your preparation and the current work.

Do not mass-email professors, attach a large proposal without invitation, or ask for a guaranteed admission or assistantship. A positive reply is not an admission decision. Keep all claims about publications, methods and roles accurate.

Show readiness without exaggeration

The statement should explain the research questions or methods that motivate you, relevant preparation, and why the programme is a credible fit. It is not necessary to pretend that the final dissertation topic is already fixed unless the programme requests a proposal.

An academic CV should distinguish peer-reviewed publications, manuscripts, conference work, thesis projects, employment and training. State your contribution to collaborative work. If a writing sample or portfolio is requested, use authentic work and follow the page, file and anonymisation rules.

Recommendations are strongest when writers can evaluate research ability, independence, methods, academic writing and persistence. Give recommenders enough time and the official submission route.

Verify GRE and English rules separately

ETS explains that GRE scores should be considered alongside the rest of the application. For a PhD applicant, the department may require, permit or decline GRE scores. Record the current rule for each programme and avoid assuming that a high score compensates for missing prerequisites or weak research fit.

Translate “funded” into exact numbers and duties

EducationUSA lists fellowships, teaching assistantships, research assistantships and administrative assistantships as common graduate funding routes and notes that assistantship opportunities are especially common at PhD level. This does not mean every offer covers every cost.

Read the written offer for tuition remission, mandatory fees, health insurance, stipend amount and payment schedule, appointment percentage, tax treatment information, duration, summer support and renewal conditions. Ask whether funding is guaranteed for a stated period or reviewed annually, and what happens if a grant or supervisor changes.

Compare the stipend with local living costs and include travel, deposits and personal expenses. Do not describe a tuition waiver alone as a fully funded offer. Keep a credible backup plan for costs not covered.

Manage deadlines and final verification

PhD and funding deadlines may be earlier than general graduate deadlines. Build a programme tracker for faculty fit, required contact, tests, statement prompt, writing sample, recommendations, application fee, funding form and final deadline. Check whether all materials must arrive by the deadline or only the form.
