UK University Application Documents: Complete Checklist
A UK application does not use one universal document pack. Undergraduate applications commonly go through UCAS, many postgraduate applications go directly to universities, and research, art, architecture, medicine or regulated courses may require additional evidence. The safest checklist is built from the current course page and separated into application, offer, CAS and visa stages.
Quick answer: start with the exact course checklist, obtain official transcripts early, arrange suitable referees, write an applicant-owned statement, and prepare certified English translations where required. Do not upload a passport, bank statement, English test, degree certificate or extra portfolio simply because another university requested it. Required documents and acceptable formats vary.
Information checked on 24 July 2026. University, course, UCAS and UKVI rules can change; always use the current official page for the exact application you are preparing.
Separate the four document stages
| Stage | Typical purpose | Examples that may be requested |
|---|---|---|
| Admissions application | Assess academic fit and eligibility | Application form, transcript, statement, reference, CV or course-specific work |
| Offer conditions | Verify final results or other conditions | Final certificate, official transcript, English result, deposit evidence |
| CAS preparation | Confirm sponsorship details before visa application | Passport details, qualification evidence, ATAS where relevant, financial or consent documents requested by the sponsor |
| Student visa | Meet UKVI identity and route requirements | Passport and CAS, plus financial, TB, ATAS, consent or sponsor evidence where applicable |
A document accepted as a scan for admissions may later need institutional verification or a secure electronic copy. A document used by the university to issue an offer is not automatically the complete UKVI evidence set.
Core admissions checklist
| Document | Who commonly needs it | Quality checks |
|---|---|---|
| Completed application form | All applicants | Legal name, education history, dates and answers are complete and consistent |
| Academic transcript or mark sheets | Most undergraduate and postgraduate applicants | Name, institution, course, modules and grades are visible |
| Degree or school certificate | When the institution requests award evidence | Award title, date and final result match the application |
| Personal statement or SOP | Where listed in the course application | Answers the current prompt, meets word limit and is applicant-written |
| Reference | UCAS and many postgraduate applications | Correct referee type, institutional contact and deadline |
| CV or résumé | Many postgraduate and experience-based courses | Reverse chronology, exact dates and evidence relevant to the course |
| English-language evidence | If required at application or offer stage | Accepted test or alternative, minimum component scores and validity |
| Passport or identity page | Only when the university or portal requests it | Clear scan, correct name and unexpired document |
Cambridge’s current postgraduate guide, for example, lists two referees, academic transcripts and certificates for each degree, a CV, and course-dependent material. It says references are uploaded separately by referees and that some English results are not needed until after an offer. Oxford tells applicants to use each course page for the exact supporting-document list.
Undergraduate versus postgraduate applications
| Area | Undergraduate pattern | Postgraduate pattern |
|---|---|---|
| Portal | Often UCAS, with some direct routes | Usually the university’s own portal |
| Academic evidence | Achieved and predicted school qualifications as required | University transcript for all relevant higher-education study, including interim results |
| Statement | UCAS or provider format for the entry cycle | Course-specific statement, questions or statement of purpose |
| Reference | UCAS reference normally entered by the referee | One, two or more references depending on institution and course |
| CV | Not universal | Common but not universal |
| Additional work | Portfolio, audition or test for selected courses | Research proposal, writing sample, portfolio, GMAT/GRE or professional evidence only where specified |
Do not treat the table as a substitute for the live instructions. Some postgraduate courses require no separate statement; others set a precise prompt or ask several short questions. Referee type also varies with time since graduation and the nature of the programme.
Transcript and qualification checks
Request records early. Cambridge notes that institutions can take time and may charge for transcripts. Oxford requires a detailed record of all university-level education up to the present and says an official transcript should come from the institution. Oxford accepts an official interim or provisional transcript for applicants still studying and may request a final or more formal record after an offer.
- Scan every page, including grade-key or reverse-side information.
- Keep the original-language document with its required English translation.
- Do not type your own transcript or edit a scan.
- Use the name shown on the record; explain a legal name difference through the instructed route.
- Include current interim results where final results are not yet available.
- Do not substitute a degree certificate for a transcript when a module-and-grade record is required.
Course-specific additions
| Course or situation | Possible addition | Critical check |
|---|---|---|
| Research degree | Research proposal and supervisor information | Required structure, length, topic fit and contact rules |
| Art, design or architecture | Portfolio | File, platform, page, caption and authorship rules |
| Writing-intensive course | Academic writing sample | Word count, language, marking and individual contribution |
| Professional or MBA course | Detailed CV, employment evidence or test | Required experience, accepted test and verification |
| Scholarship | Separate statement, financial form or extra reference | Award deadline may be earlier than the course deadline |
| Significant circumstances | Extenuating-circumstances form and evidence | Use the university’s designated confidential route |
Certified translations
Translation requirements differ. Cambridge says non-English postgraduate documents must have a full translation prepared by a registered translator and must not be self-translated. LSE says applicants must upload an accredited translation. Oxford requires the original non-English transcript plus either an institution-issued and stamped English version or a professional translation visibly certified by the translator or an authorised notary. Follow the exact recipient’s rule and retain the original-language record.
After an offer: conditions, CAS and visa evidence
An offer letter will identify outstanding conditions. Upload only through the official portal or route. Once conditions are satisfied, the sponsor may request information to prepare the CAS. For a Student visa, GOV.UK says applicants must provide a current passport or other valid travel document and a CAS. Depending on circumstances, they may also need financial evidence, ATAS, parental consent and relationship evidence for an under-18 applicant, a TB certificate, or written consent from a recent official financial sponsor.
Do not assume that everyone submits every possible visa document. Evidence exemptions and sponsor checks can vary, while UKVI may request more information. Use the current GOV.UK route guidance for the application date.
File preparation and naming
| Check | Good practice | Problem prevented |
|---|---|---|
| Format | Use the portal’s accepted PDF or image type | Automatic rejection or unreadable upload |
| Size | Compress legibly to the stated limit | Failed upload |
| Protection | Remove passwords or encryption when prohibited | Document-merging failure |
| File name | Use applicant name, document type and institution | Misidentification |
| Legibility | Check at normal zoom before submission | Delayed review |
| Version | Keep final submitted copies and receipts | Inconsistent later updates |
Final pre-submission audit
- The checklist comes from the exact course and entry-year page.
- All requested education, including unfinished or transferred study, is declared.
- Names, dates and results agree across the form, CV and records.
- References are requested early and referees know the deadline.
- Statements and samples meet authorship, word-count and format rules.
- Original-language documents and accepted translations are paired.
- Every scan is complete, readable and uploaded in the right field.
- Admissions, offer, CAS and visa files are tracked as separate stages.
